Specialist, Facilities

POSITION PROFILE

Responsible for the provision of facility maintenance and support services. Ensures the safety, security and convenience of facility occupants and guests, while also ensuring the cost-effective operation of Corporate facilities. Coordinates with Property Manager on land lord provided services.

Job Duties and Responsibilities

Facility Management Support

  • Supports facility in maintaining daily operational functions.

  • Monitor software systems and create tickets and reporting within Service Zone, Qualtrics and SAP Ariba.

  • Create department requisitions, track PO’s, monitor invoicing, troubleshoot AP/AR issues.

  • Maintain and create vendor tracking spreadsheets.

  • Maintains daily routine functions to include work orders, contractor monitoring, inspections, resolving facility related issues, lending support as required to other business groups.

  • Interacts with both contracted vendors and facility management and occupants.

  • Works independently and supervises projects, company events and facility related program launches.

Infrastructure Support

  • Partner with facilities planning team with renovation projects.

  • Data Collection and basic data input.

  • People management, IT, space management software support.

  • Finance Support.

  • Project Management Assistance.

  • Update and track expense master planning spreadsheets.

  • Creating Welcome packets.

  • Act as lead to create signage and provide instruction to on-site staff.

  • Copy requirement — Team with office service.

  • Sign placement — Team with sustainment team.

  • Lamination, work with outside vendor on professional signage.

Environmental Health & Safety

  • EHS Clinic Assistance.

  • Communication & tracking for required testing of direct labor.

  • Field customer service calls.

  • Audit assistance.

Event Planning

  • Winning team and team support coordinating events.

  • Offsite planning assistance, as required.

  • Coordinate with onsite service for room set-up.

  • Schedule meetings, order food/catering.

  • Create tracking & costs for events.

Support Communications/Change Management Processes

  • MS Systems: Teams, SharePoint, and Yammer and other support process needs when directed.

  • Poster boards and hard copy messaging boards.

  • Campus signage/picture support.

  • Request estimates/quotes from various vendors.

  • P-Card reconciliation.

  • Supply ordering for necessary department supplies

  • Create dynamic presentations using multiple MS systems to deliver key messaging to senior leadership and an estimated 5000 employees with little guidance.

  • Performs all other duties as required.

QUALIFICATIONS (Education, Experience, and Certifications)

�· Minimum 4-6 years building services related experience

�· High School diploma or equivalent is required.

�· Knowledge of CAD design required.

KNOWLEDGE, Skills And Abilities

�· Ability to communicate clearly both verbally and in writing

�· Capable of working in a fast paced environment

�· Good customer service skills

�· Good organization skills

�· Versatile, dexterous and able to operate hand tools

�· Ability to follow directions

�· Ability to work as a team or individually

Working Conditions, MENTAL aND PHYSICAL DEMANDS

�· Typically, an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level

�· Work assignments are diversified. Interpret, comprehend and apply complex material, data and instruction �· prepare, provide and convey diversified information

�· Minimal physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically with less than 10 lbs. (e.g., papers, books, files and small parts, etc.)
